CONSTITUTION


1. The name of the organisation shall be called “The Great Western Golf Society”, hereinafter referred to as “The Society”.


2. The objective of the Society is to enable all its members to enjoy the game of golf, as per Rule 6.1 of the Constitution.


3. Membership


  • The Society have a membership committee, and to ensure stability in the overall interests of the Society, positions will not be up for re-election.


  • Membership is open to persons with an acceptable level of golfing ability. Any prospective member must contact the committee for an application pack. They will need to be proposed by a member of the Society and all applications will be considered and seconded by the membership committee, whose decision will be final.


  • All members shall be entitled to vote at a Society meeting on matters requiring approval to take forward issues outside the Constitution, and each such person shall have a single vote. If a member is unable to attend a meeting, they may send a written proxy vote to the Committee. In the case of a tie of votes, the Captain shall have the casting vote.


Membership of the Society shall cease:-


(a) On written or verbal resignation to the Committee


(b) If a member has failed to pay the annual subscription by the date of the Presentation Evening..


(c) By a majority resolution of Members to expel that person.



4. Annual Subscription


Subscription for the following year shall be fixed at the Annual General Meeting, which will be held at the end of the season.



5. Funds


  • The Treasurer shall maintain proper books of accounts for all financial proceedings and these are to be available for consultation at any reasonable time by the Members of the Committee.


  • An annual balance sheet shall be prepared by the Treasurer at the end of each financial year and circulated to Members. The financial year shall end on 30 April.


  • The Treasurer has an authorised spending limit up to £25.00. Any transaction greater than £25.00 will need the approval of the Committee.


  • The Committee shall audit the accounts at least once every financial year. Any member of the Society requesting a copy of the balance sheet, will be provided with one by contacting the Treasurer.


  • The Society may only be dissolved by the unanimous decision of Members of the Society at a meeting called for that purpose. In this event the Society’s funds, assets and properties shall be distributed as directed by the Committee.


6. Rules of the Society


(i) The Society agrees to abide by the Rules of Golf as laid down by the Royal and Ancient Golf Club of St Andrews.


(ii) The Society agrees to abide by the Rules of Amateur Status as laid down by the Royal and Ancient Golf Club of St Andrews.


(iii) The Society recognises that the English Golf Union is the Governing Body for men’s amateur golf within England and as such recognises its authority to govern the game.


  1. Officers

  • The general administration of the Society shall be in the hands of the following Officers.


(i) Captain

(ii) Secretary/Treasurer

(iii) Committee Marketing Executive

(iv) Members Representative


Where a post becomes vacant during the year, the Committee will approach members of the Society who they feel suitable to fill any vacant post.


8. Events and Handicapping Committee


  • The Events Committee will consist of the Captain and Treasurer.


  • The Handicapping Committee will consist of the Committee members.


  • The Events and Handicapping Committee should determine the conditions, which appertain to each competition and supply all Members with details of these conditions.


Full records of competitions and handicaps of Members shall be kept updated by the Committee.


  1. Discipline

All Members of the Society will observe and practice Golf Etiquette at all times. Complaints against any member shall be viewed by the Membership Committee who will determine any appropriate course of action. Any incident likely to bring the Society into disrepute is liable to lead to expulsion from the Society.


10. The Society hereby indemnifies itself from any claims by Members, their relatives and dependents, and other persons, for loss, damage or injury caused by or sustained during activities of the Society.
